Responsible party and privacy contact
Apex Paving and Civils is the approved trading identity responsible for information submitted through this website's contact workflow. Privacy requests are handled by the designated Information Officer or an authorised delegate.
Email privacy enquiries to info@apexpavingandcivils.com. This public contact avoids publishing an individual's private contact details while providing a monitored channel for privacy requests.
Information used for quote enquiries
The quote form can include your name, phone or WhatsApp number, requested service, suburb or area, and the project details you choose to provide. Name, phone number and service are required to prepare a useful enquiry; area and project-description fields are optional. Without the required details, Apex may not be able to identify the requested service or respond.
The quick-start quote tool works the same way with less information: it includes only the work type, approximate area, suburb and timeframe you choose to select or enter. Both tools only compose a message in your browser; nothing is submitted or stored until you choose to send the message in WhatsApp.
Purpose and basis for processing
Apex uses the information to respond to a quote or service request, communicate about the proposed work, and take steps requested before a service agreement. Information may also be retained or used where reasonably necessary for an ongoing customer relationship, a legal obligation, or the establishment or defence of a legal claim.
Only information reasonably relevant to the enquiry should be included. Please do not send identity numbers, bank-card details, passwords or unrelated sensitive information through the quote form.
How the WhatsApp workflow works
The website prepares a WhatsApp message in your browser. Selecting “Send via WhatsApp” opens WhatsApp, where you can review the message before sending it. The website does not submit the form to an Apex-owned web server.
When you continue in WhatsApp, the message and associated account or device information are processed by WhatsApp/Meta under their terms and privacy practices. You may instead call or email Apex using the contact details on the website.
Service providers and transfers
Access is limited to Apex management and specifically authorised website administrators who need it for enquiries, operations, security or support. Information is not sold.
- WhatsApp/Meta processes messages you choose to send through WhatsApp.
- Cloudflare may process technical request data while providing edge security and tunnel transport.
- Google Fonts receives ordinary technical request data when website pages request font files.
- Hosting, backup and support providers may process limited technical data where necessary to operate and secure the website.
Some providers may process information outside South Africa. Apex administrators should select reputable providers, restrict access, minimise data shared, and use the provider and contractual safeguards reasonably available for the service.
Retention
Unsuccessful and general quote enquiries are normally retained for no longer than 180 days from the last meaningful contact, then deleted from Apex-controlled systems where reasonably practicable. Information may be kept longer when the enquiry becomes an active customer or project record, the person asks Apex to continue the discussion, or retention is reasonably required for a legitimate business or legal purpose.
Messages and backups may persist for a limited period under provider backup cycles. WhatsApp/Meta also applies its own retention practices to information held on its systems.
Security
Apex limits access to management and specifically authorised administrators, uses supported and access-controlled systems, keeps operational credentials outside the public website repository, and applies reasonable update, backup and incident-response practices. No internet transmission or storage system can be guaranteed completely secure.
Your choices and rights
You may ask Apex to provide access to, correct or delete personal information it controls, or object to processing where applicable. Email info@apexpavingandcivils.com. Apex may need enough information to verify the request and may retain records where legally permitted or required.
If a concern is not resolved, you may contact or lodge a POPIA complaint with the Information Regulator (South Africa).
Direct marketing
Quote enquiries are not reused for unsolicited or direct marketing without an appropriate separate basis or consent. A request for a quote is not treated as marketing consent.
